Achaban House: Booking Conditions for Exclusive Use

General

Any representative of Achaban House retains the right to enter all parts of the building at any time, to ensure that cleanliness is preserved and so that routine maintenance may be carried out.

Exclusive use booking

The group must have an allocated person who is responsible for their booking. The nominated leader warrants that he/she has the full authority to make a booking on behalf of all the persons they are making a booking for and confirms that all such persons are aware of and accept our conditions.

Guests

Only guests staying at Achaban House (to a maximum of 14 guests) are permitted entry to the house. If the booking is part of an event, or a wider group, then permission for additional persons to enter Achaban House must be requested for discussion prior to arrival.

Booking Deposit and Payment of Balance

The deposit to be paid at the time of booking is 25% of the total price. The balance is due 90 days prior to arrival. Bookings made within 90 days of the arrival date require the full balance be paid at the time of booking.

Payments

Payments are preferred by debit/credit cards. If any payment under these terms and conditions is overdue, then without prejudice to our other rights, we may cancel your booking.

Cancellations

The deposit is non-refundable. The balance paid 90 days before the booking is non-refundable.

In the event of a cancellation within 90 days of arrival (i.e. after the balance has been paid) we will reopen the calendar and attempt to rebook the accommodation. If we manage to resell the dates then the value of the new booking, less an administration charge of 10 % of the original booking, will be refunded to the payment card.

In the event of a cancellation before 90 days of arrival (i.e. after only the deposit has been paid) we will reopen the calendar and attempt to rebook the accommodation. If we manage to resell the dates and the value of the new booking plus the deposit equal, or exceed, the value of the original booking, then the deposit less an administration charge of 10 % of the original booking, will be refunded to the payment card.

 

Cleanliness

It is your responsibility to ensure that the property and surrounding areas are kept clean and tidy during your stay and the house is as you found it on departure. Please ensure that litter is put in the correct receptacles and not dropped anywhere outside. If we feel that litter, dirt or grease may be becoming a problem, we reserve the right to bring in cleaners and charge the group accordingly. Cleaning materials are available for guest use.

Damages

Damages to the fabric of the building, fixtures and fittings, equipment, or lost business resulting from damage, will be charged to the payment card. We will make an assessment of any damages following checkout and will charge an estimate to the card directly. Once exact costs of damage and associated administration are known, there may be an additional charge, or reimbursement. Note that we do not permit food and drink in the bedrooms and carpet stains from spillage is one of the most common forms of damage.

Changes to bookings

If you wish to change a confirmed booking, such changes are subject to the availability of accommodation on alternative dates and may be subject to additional charges. We will inform you of any additional charges when you request your changes and will agree any costs with you. We reserve the right to not allow changes to bookings within 90 days of arrival.

Arrivals and Departures

Check-in is from 4pm onwards. Check out is by 10.00 am.

Admission and Eviction

Achaban House reserves the right to refuse admission or to evict persons for any just reason.

Availability

The booking is made entirely on the understanding that the property will be placed at your disposal for the dates stated. If there is any reason why this should not be possible, through circumstances beyond the control of Achaban House (eg fire, theft, damage etc), we cannot guarantee to provide you with alternative accommodation, in which case all monies will be refunded to you in full.

Room Plan & Keys

The group leader is responsible for the allocation of beds and we recommend a plan be produced prior to arrival. One set of keys for each room and a house key is provided. The leader should let us know on arrival if more keys are required. For fire safety we require a list of all guests staying at Achaban House, prior to arrival.

Food and drink

A guest self-catering kitchen and dining area is available for food and drink preparation and dining. Food and drink are not permitted in the bedrooms.

Please note that breakfast is not provided for exclusive use bookings.

Septic tank

Achaban House has a septic tank for waste disposal.  It is vital that nothing goes down the sink and toilet apart from loo paper and eco-cleaning materials. No grease, oil coffee grains or any substance other than the washing liquids supplied should go down the sink. No wipes, nappies, cotton wool or sanitary towels should go down the toilet. These items should go in the bins provided and we are grateful for your co-operation with this important aspect of rural living

Linen

All bedrooms are made ready with linen, towels etc for arrival

Insurance

All groups are strongly advised to take out adequate holiday insurance against cancellation (ill health, weather etc), damage to baggage, loss and/or damage to property.

Recycling

We actively encourage recycling of all rubbish. There are recycling facilities in the kitchen area for paper/cardboard, glass, cans/tins, plastics, food waste etc. Please ensure that your rubbish is split accordingly.

Damage and Cleaning

We make every effort to ensure that the property is clean and in good repair. We expect guests to leave the property as they find it. If you find any damage or cause damage yourself, please notify us to allow us to rectify the problem before the next guests arrive. The costs of repairs for damage caused may be charged to the card used for booking.

Fire Safety/ Emergencies

An emergency contact telephone number is provided to the group leader. The group leader is ultimately responsible for their group and in the event of an evacuation, they must ensure they have a list of all individuals for a roll call.

Behaviour

We encourage people to have a good time at Achaban House, but we request that you are considerate to our neighbours. All guests are expected to treat the accommodation and staff at Achaban House, the locality and environment with respect at all times. If your behaviour is deemed to be unacceptable or causes damage, your booking may be terminated and you may be asked to leave the premises. No refunds will be given in these circumstances.

Vehicles and Personal Property

Achaban House cannot be held responsible for any loss of, or damage to, any person’s property or vehicles, whilst on the premises or while parked outside. All vehicles, property and possessions are on the premises at entirely your own risk.

Pets

Dogs, with the exception of guide dogs, are not permitted in Achaban House.

Smoking

There is no smoking inside at Achaban House. Cigarette ends must be placed in the ashtrays provided outside the building.

Lost Property

If we find any items immediately after you leave, we will alert the group leader. Should you require these to be sent to you, we will do so once the postage is agreed. If no contact is made after one month, we will then recycle or donate the item.
